ScanPay

Use case: Event Gate Ticket Sales

Turn remaining event capacity into immediate gate ticket sales.

Kapiti Summer Festival places QR ticket signs near the entrance. Buyers choose Adult, Child, and SuperGold tickets, pay on their phone, receive their QR tickets instantly, and present them to staff for scanning at the gate.

Sell remaining event capacity at the entrance

Event organisers can publish QR ticket signs while gate capacity remains. Buyers complete selection and payment on their own supported device while staff focus on scanning tickets and admitting guests.

Fixed-price gate tickets

Use a focused fixed-price payment page when the remaining allocation has one ticket category. The buyer provides the requested reference and receipt details, accepts the event terms, and pays.

Adult, Child, and SuperGold ticket shopping cart

List each category with its own price and quantity controls. ScanPay calculates the total, records the cart line items, and creates the matching tickets after successful payment.

Immediate QR ticket delivery

Show tickets on the receipt page, include them inside the receipt email, send a separate ticket-only email, or combine delivery methods. Downloadable receipt PDFs can also contain the ticket QR code.

Phone, tablet, laptop, and webcam gate scanners

Create named private scanner links for each gate, lane, staff device, or checkpoint. Assign relevant event pages and show clear Redeemed or Already Redeemed results with optional sound.

Ticket validity, redemption, validation, and pools

Configure one-time redemption, limited scans, or repeated validation until expiry. Use ScanPay-generated tickets, external ticket-code pools, or fixed access codes, with checkout blocking and low-pool alerts when external codes run out.

Live dashboards, alerts, and ticket reporting

Display recent gate sales, ticket status, order references, and redemption activity. Search and export transactions, extend tickets, add scan allowances, cancel tickets, and issue buyer or seller documents.

Event branding, terms, receipts, GST, and instructions

Add the event logo, banner, description, button colour, ticket instructions, receipt message, GST information, and event terms that buyers must accept before payment.

Affiliate and multi-code ticket tracking

Create named QR codes for gates, posters, promoters, hotels, retailers, and partners. Attribute sales, set individual commission percentages, calculate commission from net revenue, and record when commissions are paid.

Signed event webhooks and integrations

Send HMAC-signed payment events to Zapier, Make, n8n, Relay.app, or compatible custom event systems while retaining transaction, ticket, receipt, and commission records in ScanPay.

Frequently asked questions

How do on-the-day QR ticket sales work?

A buyer scans the event entrance sign, chooses the required Adult, Child, or SuperGold tickets, pays on their own phone, and receives the configured QR tickets immediately. Gate staff scan those tickets from an assigned ScanPay staff page.

Can we sell one fixed-price ticket?

Yes. A fixed-price payment page is ideal when the remaining gate allocation has one ticket type and price.

Can one buyer purchase Adult, Child, and SuperGold tickets together?

Yes. A shopping-cart page lists each category with its own price and quantity control. ScanPay calculates the total and creates the required tickets after payment.

How do staff scan tickets at the gate?

Create a private scanner link for each gate, lane, or device. Staff use a phone, tablet, laptop, or webcam to scan tickets and receive a clear Redeemed or Already Redeemed result.

Can tickets be validated instead of redeemed?

Yes. Use redeem behaviour for one-time entry or validation behaviour when a ticket should remain valid for repeated checks until expiry.

What happens if an external ticket-code pool runs out?

Checkout is blocked for the affected option when no unused codes remain in its assigned pool. Other options with available codes can continue, and low-pool email alerts help the organiser add more codes.

Can promoters or entrance signs have their own QR code?

Yes. Named tracking codes can identify each promoter, entrance, poster, hotel, retailer, or partner, with optional individual commission percentages.

Where does the ticket payment go?

Payments are processed directly through the event organiser's connected Stripe merchant account. ScanPay does not collect or hold the buyer payment.
