Use case: Raffles & Prize Draws
Collect raffle entries and community donations without handling cash.
Waikanae Community Trust displays a ScanPay QR code for its meat-box fundraiser. Supporters select an entry bundle, provide a name and receipt email, pay on their own device, and receive immediate confirmation.
Replace cash raffle sales with a simple QR payment
Supporters do not need cash or the correct change, and volunteers do not need to manage a float, EFTPOS terminal, or handwritten payment list. Successful payments appear in ScanPay as they land.
Offer clear raffle-entry bundles
Create predefined choices such as one entry for $5, five entries for $20, or fifteen entries for $50. ScanPay records the selected option, payment, supporter reference, receipt details, and order number.
Accept open donations as well as entries
Create a separate buyer-entered amount page for supporters who want to contribute without participating in the draw. The payment still receives a transaction record and configured receipt.
Receipts and payment confirmation
Provide a receipt webpage, receipt email, downloadable PDF receipt, or a configured combination. Stripe processes the payment directly into the organiser's connected merchant account.
Live fundraising visibility
See contribution amounts, entry selections, supporter references, status, fees, and net income. Live dashboards and high-priority device alerts help organisers and volunteers monitor incoming payments.
Named QR codes for collectors and locations
Create tracking links for volunteers, school groups, shops, stalls, posters, or campaign locations. Each successful payment shows its source so the organiser can compare results.
Custom campaign pages, terms, GST, and reporting
Add the organiser's logo, description, button colour, receipt message, supporter reference, GST details, and promotion terms. Search transactions and export records for administration.
The organiser remains responsible for the draw
ScanPay facilitates payment pages and records payment-related information. It does not approve or administer promotions, allocate official entries, or select winners. Organisers must confirm legal requirements, publish clear rules, maintain the official entry register, protect personal information, manage prizes, and conduct a fair draw.
Frequently asked questions
How does a ScanPay raffle or prize-draw page work?
The organiser displays a ScanPay QR code on a sign, poster, newsletter, or community stall. A supporter scans it, chooses an entry bundle or donation amount, provides the requested name or reference and email address, then pays on their own device. The successful payment appears in ScanPay immediately.
Can supporters choose between donating and buying entries?
Yes. The organiser can create one payment page for open donations and another page with predefined raffle-entry bundles. Each page has its own description, terms, receipt message, QR code, and reporting.
Can we offer one entry for $5 and discounted bundles?
Yes. A predefined-options page can offer choices such as one entry for $5, five entries for $20, or fifteen entries for $50. The selected option and payment remain attached to the transaction record.
Does ScanPay select the winner?
No. ScanPay records payments, references, selected entry options, receipts, and tracking sources. The organiser remains responsible for maintaining the official entry register and conducting the draw using a fair and legally compliant process.
Can we collect the supporter name and email address?
Yes. Use a required custom reference such as Supporter name and collect an email address for the receipt. The organiser must explain how personal information will be used and manage it according to the applicable privacy requirements.
Can separate volunteers or locations have their own QR code?
Yes. Named tracking QR codes can identify each volunteer, school group, shop, stall, noticeboard, or campaign location. The payment record and reporting show which source generated the contribution.
What rules apply to raffles and prize draws?
The organiser is responsible for confirming that the promotion is lawful, obtaining any required approvals or licences, publishing clear eligibility and draw terms, handling prizes and winner notification, protecting personal information, and keeping appropriate financial records. Independent legal or regulatory advice should be obtained when needed.
Where does the fundraiser payment go?
Payments are processed directly through the community group or charity's connected Stripe merchant account. ScanPay provides the payment page, QR code, transaction record, receipts, alerts, and reporting but does not collect or hold the supporter payment.
